Out of Town Welcome Kit Ideas

April 7th, 2009 by

With about 15 OOT guests who have never been to Hawaii (they have all been waiting for me to get married!), I really want to welcome them properly by greeting them at the airport with leis in hand. Still, in the case we are busy with last minute wedding meetings and cannot make it to the Honolulu International Airport, I plan to have something waiting for them in their hotel rooms. Unfortunately, though I would love to gift them with OOT bags or boxes like the ones below, it is simply out of our budget.

Tuberose Dude and I plan to email our OOT guests a copy of an awesome travel article on Hawaii with information on places to hit, how to explore most of Oahu in 5 days, and some info on the neighboring islands to help them in planning their trip. Additionally, we will provide a good chunk of wedding information, along with a calendar of events and what to bring, on our wedding website. Still, I know that many of our guests may forget to print the article or may not have easy internet access while vacationing, so it’s nice to have hard copies for them when they arrive. Fortunately, there are other ways to welcome them without breaking the bank. Take this wedding folder. Inexpensive but still does the job in providing OOT guests the right information and maps about the area.

But as I have a ton of inexpensive cardstock on hand, I’d like to stick to the philosophy of “Want not, waste not.” So here are some other ideas I have to welcome my OOT guests.

How about some cute door hangers?

One potential problem is that the door hanger may not be strong enough to hold all the info and goodies I’d like to give my guests, so how about this door hanger instead?

But if push comes to shove, how about this cute little treat box that I can place on water bottles? I was thinking of sweet island-style party mix (Tuberose Dude’s and my fav!) along with a cute little fold-up map of Oahu?

As I continue to ponder my plan of attack, the decision will likely boil down to what goodies fit within our budget and how much we can provide. What types of goodies are you planning to provide your OOT guests?

Dude and I are having an out-of-town wedding (in the mountains in Fernie, BC, Canada), which means all of our guests are out of towners! We are renting big houses for our extended family (don’t worry, they are paying for them… we are just making it easier!), so we are planning big welcome baskets for the house to enjoy, rather than per couple/hotel room. We will include some of Dude’s favorites (nibs and after eight bars) and mine (hot tamales and lindt chocolate), and I am also planning on baking muffins, and maybe even a big pot of soup for each house to help out with meals… well, mostly snacks! Good luck on your bags… all of the door hangers are cute!!

Great Post! You have some wonderful ideas! A great untapped resource is the Visitors Bureau letting them know about your wedding and the out of town guests coming to town. They will have tons of free information to give your guests. They love sharing about the sites and highlights of their area. They have a wealth of information at your disposal!

Wow! thats a great idea! I am not having an out of town wedding. A few are coming from out of area but it would be silly to do a welcome to palm bay! Hawaii makes more sence =)
